Hire Desk Controllers

London North Depot located in Hemel Hempstead

Purpose 

  • Handling rental enquiries/orders inbound and outbound in association with the commercial team

Organisational Structure 

  • Reports to the Hire desk Team leader on a daily basis
  • Overall Line Manager: Rental Desk and Fleet manager

Tasks and Responsibilities 

  • Answer all incoming calls in a polite, friendly and professional manner as trained.
  • Responsible for the smooth running of Key Accounts and/or General Orders;
  • Actively engage with all elements of The Riwal Way;
  • Deliver a world class service with a friendly, professional & Helpful attitude;
  • Dealing with commercial team enquiries;
  • Successfully generate or convert enquiries to orders;
  • Record all quotes on to the relevant system;
  • Telephone sales as and when required;
  • Ensure all on/off hire orders are taken in detail and processed correctly;
  • Create, input and ensure accuracy of orders onto the company system to minimize account queries and potential credits;
  • Reserve and enter all machine bookings;
  • Process all fuels checks;
  • File and archive any old or completed agreements;
  • Check daily all hires due to finish;
  • Proactive Off rent calls;
  • Liaise with transport, providing full and correct information, Correct input into the Route planning systems;
  • Provide assistance if required during Holiday cover on Transport Desk;
  • Ensure relevant spreadsheets, CRMS, (as applicable) are updated daily/weekly and any concerns are brought to the attention of Hiredesk Team Leader or Rental Desk Fleet Manager;
  • Ensure all quotations are followed up and outcome logged correctly;
  • Ensure own individual knowledge is enhanced by constantly aiming to learn/improve and taking on board training as necessary;
  • Achieve all targets and KPI’s that are set for individuals/Administration team;
  • Any customer queries must be dealt with quickly and efficiently;
  • Work with the Riwal International Spocs cross border to provide timely quotes;
  • Complete any International enquiries or pass to the UK Spoc;
  • Develop and promote the Riwal International Systems;
  • Liaise and communicate effectively with all levels of staff;
  • Assist any other departments as and when required including members of SLT.

Requirements

  • Knowledge of MS Office/Google Apps;
  • Team player and result oriented;
